By identifying a recurring inefficiency in our office workflow, I found that employees were spending significant time manually renaming hundreds of files exported from our management system, Sagitta. Each file was automatically generated with a Job #, which created inconsistency and extra manual work when organizing documents for clients. The problem was especially impactful at scale, as file renaming became repetitive and time-consuming.
To solve this, I developed an automation solution using Microsoft PowerShell, a built-in Windows terminal tool available on all office computers. With the help of AI-assisted coding, I created a script that uses file paths to systematically rename documents across folders. The first part of the script removes the automatically assigned Job # from the file that is generated from Sagitta, which ensures that all unnecessary system-generated identifiers are eliminated from the file name.

The second part of the script standardizes file naming by appending an underscore followed by the client name, aligning with the office’s naming convention. This ensured consistency across all files and made documents easier to search, sort, and retrieve. Overall, this automation significantly reduced manual effort, improved accuracy, and created a scalable solution that could be used by anyone in the office with minimal training.
